ROCHESTER PUBLIC LIBRARY: LIBRARY AT HOME PROCEDURES

Thank you for helping deliver library materials to community members who are unable to access the main library or bookmobile due to barriers they are experiencing.

Please arrive at Rochester Public Library around 8:00am.

·       You may back your vehicle up to the garage door on the West side of the building (located on 1st Ave SE). Ring the doorbell on the side of the entrance to the garage door. When someone answers, let them know who you are, and they will let you in.

Library staff will help you load the delivery boxes into your vehicle. All boxes will be numbered and have a slip of paper taped on them with the last names of the patrons who have bagged materials in the box.

·       For example: box 1 will contain the patrons who are the first in the delivery order.

·       When loading your vehicle, it’s best to stack boxes on top of each other in delivery order.

o   Leave room in the vehicle to rotate boxes as you deliver (ie. Pulling new delivery totes forward and putting boxes with returns at the back).

Now that the vehicle is loaded, you’re ready to deliver! You will be provided with a delivery list. At most residences, you will be dropping off bags of new materials and picking up bags of returns. Next to each patron’s name there will be notations regarding delivery. They will say:

o   ‘Pick up and delivery’ – you will pick up old items and deliver new items

o   ‘pick up only’ – you will pick up old items, but not deliver any new items

o   ‘delivery only’ – you will deliver new items, but not pick up any old items

o   ‘no pickup/no delivery’ – no need to visit today, you may skip

·       If a bag is outside, exchange bags and ring the doorbell. You do not have to stay and wait for the patron.

·       If a patron is supposed to get pickup and delivery, but no bag is out, ring the doorbell and wait. Sometimes they forget to put their bag(s) of returns outside.

o   If no one comes to the door, it is okay to leave the bag of new materials and move on to the next delivery.

Things to note during delivery:

·       There are a few patrons who need to be called ahead of time – this will be noted next to their name. When they answer, state your name and why you are calling - let them know you’re on the way to deliver. They will meet you at the door.

·       Some patrons get multiple bags delivered to them. Library staff will always note this on the delivery sheet, the note on the delivery totes, and the luggage tags attached to the handles of the canvas bags.

·       For patrons who get multiple bags, these are usually split into two delivery boxes, so please double check you have all the bags before delivering to the patron’s door.

·       Senior Living Centers: when delivering to a SLC, all returning bags will either be left on a cart or bench near the entrance/between entrance doors or with the receptionist (if there is one). Where to leave the bags will be noted on the delivery sheet under the address of the location. There is no need to deliver to apartments.

o   For patrons who live at Homestead and the Moors: all bags (both Homestead and Moors) can be left with/picked up from the receptionist at Homestead. They will take care of delivering the bags to the Moors.

After the last delivery, return to the Library garage door and ring the doorbell. Someone will come out with carts to help unload the vehicle. Please return the delivery list to library staff.

Privacy Reminders:

Addresses, phone numbers, and library materials are all considered private information.

·       Do not copy/save any information provided to you to help with delivery.

·       Do not look inside bags to see what people are ordering.

·       If the patron speaks with you about any private information, including if they have loved/hated something they read/watched, do not share that with anyone else. The conversation is considered confidential.

·       If a patron gives you a request list or any other private information intended for the Library, ensure it is safely delivered to library staff and nobody else sees it.
